      Job description

      The Muizenberg Improvement District (MID) is looking for a highly organised, systems-minded Administrative Operations Coordinator to support our internal operations, compliance, and communications.

      This is a hands-on, civic-minded role at the heart of everything we do — from coordinating board meetings and managing service providers, to ensuring compliance with City processes and maintaining digital systems. If you thrive on structure, love good systems, and care about making a positive impact in your local community, we’d love to hear from you.

      Key responsibilities

      Planning and compliance
      Maintain the internal planning calendar, ensure all City deadlines and reporting requirements are met, and keep audit-ready records in line with CID legislation.

      Admin and board support
      Provide full administrative support to the Manager and Board, including meeting scheduling, minute-taking, and digital filing.

      Finance support
      Process invoices, track budgets, maintain supplier records, and support audit preparation.

      Operations oversight
      Log infrastructure issues, coordinate cleaning team oversight, and ensure our premises remain tidy, functional, and well organised.

      Communications and content
      Support internal story gathering, manage website updates, prepare newsletters, and post to social media in collaboration with our Communications team.

      Community liaison
      Respond to public messages, triage queries, and help ensure consistent, responsive communication across all platforms.

      Requirements

      Key Skills and Experience

      Essential:
      • Proven experience in a governance, compliance, or high-level administrative role
      • Exceptional organisational and time-management abilities
      • A systems-minded approach with the ability to build or strengthen internal processes
      • Familiarity with digital tools such as Microsoft Office, Google Workspace, and cloud-based filing systems
      • Ability to manage sensitive or confidential information discreetly
      • Strong written and verbal communication skills
      • Comfort working independently and self-managing multiple deadlines
      Desirable:
      • Familiarity with City Improvement Districts (CIDs), SRAs, or local government environments
      • Experience with Canva, Mailchimp, website CMS platforms, and social media tools
      • Background in bookkeeping, invoicing, or basic financial administration
      • A community-centred outlook with a proactive, professional demeanour
