Static Production Coordinator

We are looking for a highly organised, detail-driven, and proactive static production coordinator to join our fast-paced production team. This role is central to ensuring that all static campaigns are delivered on time and to the highest standard - from printing and flighting, to site maintenance and client service.

You will work closely with internal teams, clients, suppliers, and flighting crews to manage logistics, production processes, and post-campaign checks. The ideal candidate is a confident problem-solver with strong administrative skills, excellent communication, and the ability to keep multiple workstreams running smoothly.

1. Printing and flighting coordination

• Manage the end-to-end coordination of printing and installation for all static campaigns
• Liaise with suppliers, print houses, and internal teams to ensure timelines are met
• Ensure artwork is sent to print after receiving approval
• Distribute flighting job cards and track installation progress
• Follow up on outstanding artwork and ensure proof of flighting is submitted after completion

2. Administration and reporting

• Ensure all jobs are backed by complete documentation: signed production quotes, proof of payment, and approval files
• Maintain and update all operations spreadsheets and tracking tools
• Coordinate production sign-offs and internal documentation processes

3. Site maintenance and quality control

• Monitor and respond to lighting and maintenance reports across all static sites
• Conduct routine site inspections and report on any structural or cosmetic issues
• Ensure all nameplates and branding remain in excellent condition and meet client expectations
• Maintain site and structure quality across the network

4. Client and internal liaison

• Liaise directly with clients and sales representatives to keep them updated on production progress
• Align expectations with client and rep requirements and resolve any queries
• Share site specs and chase lists with stakeholders
• Coordinate all necessary landlord notifications for campaign installation

5. Workflow management and organisation

• Maintain clear and accurate digital filing systems for all production assets
• Ensure clear communication and responsiveness across all channels
• Keep all production folders, documentation, and artwork well organised
• Coordinate the delivery of test prints and campaign proofs

Requirements

Must-haves:

• Valid South African driver’s license and access to transport (for site visits if needed)
• Excellent administrative and organisational skills
• Proficiency in Microsoft Office Suite and project tracking tools
• Strong written and verbal communication
• Ability to work under pressure and manage competing deadlines
• Previous experience in outdoor advertising, printing, or production
• Familiarity with production schedules, site layouts, or booking systems
• A proactive, team-oriented attitude
