Job description

Background

STADIO is a multi-campus higher education institution with a national footprint, as well as hosting several student support centres in South Africa and Namibia. Key Roles and Responsibilities:

Campus buildings and facilities management (20%)
  • Ensure that the STADIO campus is always well maintained and presentable (including buildings, coffee shop, facilities, landscaping and public areas).
  • Ensure that all building and facilities components are properly documented and maintained.
  • Collaborate with campus teams and the Head: Property (if required) to troubleshoot and resolve facilities issues and report to campus management.
  • Liaise with campus IT Support staff regarding infrastructure, hardware, software and networking requirements.
  • Develop and implement policies and procedures related to buildings and facilities management.
  • Formulate disaster recovery procedures relating to buildings and facilities operations.
  • Explain complex building and facilities issues to non-technical management and staff.

Repairs, maintenance and development of buildings and facilities (20%)
  • Develop and implement 1-year and 5-year rolling maintenance plans and supporting budgets.
  • Develop and manage capital expenditure budgets relating to buildings and facilities.
  • Work with the Finance department to ensure asset registers are accurate and up to date.
  • Support the Head: Property in managing installations, configurations and roll-out of built environment infrastructure including building construction, alterations and services.
  • Coordinate facilities fit-outs and infrastructure requirements including telecommunications, utilities and IT network infrastructure.
  • Work with the Head: Property and security consultants to implement and maintain security and access control systems.
  • Forecast and plan capacity requirements for future campus infrastructure and facilities needs.
  • Investigate emerging technologies and make recommendations for facilities improvements and cost-saving initiatives.

Timetabling and scheduling (10%)
  • Collaborate with Academic Managers, MIS and Timetabling teams to ensure optimal allocation of campus venues and space.
  • Support the development and implementation of efficient scheduling practices to meet programme and campus requirements.

Company vehicles (5%)
  • Manage company vehicles including procurement, licensing, maintenance and booking systems.
  • Ensure appropriate policies and procedures are implemented for vehicle usage and management.

Sport facilities (10%)
  • Maintain and develop campus sport facilities in line with institutional standards.
  • Support sports committee activities and coordinate facilities usage for sports events and activities.

Expenditure, cost control and service level agreement management (15%)
  • Manage internal and external rental agreements and payments relating to campus facilities.
  • Oversee rental of campus sport facilities.
  • Collaborate with campus leadership regarding space allocation and utilisation.
  • Manage third-party suppliers including security, cleaning, utilities, landscaping and hygiene services.
  • Ensure supplier services comply with agreed service level agreements and budgets.
  • Oversee campus opening and closing procedures as agreed with the Head of Campus.

Occupational health and safety (20%)
  • Ensure the campus complies with all relevant occupational health and safety legislation and standards.
  • Maintain appropriate documentation, reporting systems and staff training relating to health and safety compliance.

Internal and external second-stream income (5%)
  • Coordinate events hosted on campus, including planning, supplier coordination, set-up and equipment requirements.
  • Manage tenant letting and liaison for facilities usage where applicable.


Qualifications and Experience | Minimum Requirements:
  • Grade 12, and relevant qualification in Facilities Management, Built Environment, Engineering, Construction Management, or a related field. Health and Safety certification will be an advantage
  • At least 5 years of Facilities Management experience, preferably in a Higher Education environment
  • Capacity planning experience
  • Budgeting experience
  • Experience in managing capital projects
  • Experience with IT infrastructure
  • Experience in managing sporting facilities
