Job description

Main purpose of job

To ensure that our trading and investment division drives excellence and accuracy in the placement, tracking and reconciliation of all trading agreements between APEX and our agency teams whilst also keeping track of all documentation, compliance and governance processes.


Responsibilities:

Account Management
  • Responsible for delivery of buying service on portfolio
  • Attend client/team/status meetings
  • Maintain key stakeholder relationships (agency teams – planners, buyers and finance)

Media Buying, Administration and Budget Management
  • Implement approved trading media plans across all mediums
  • Provide clear briefing to trading partners
  • Negotiate the best deals in terms of efficiency, effectiveness, price, quality and value-added opportunities of the agreed media plan if not already included
  • Ensure we deliver against savings targets on all media buys done via APEX
  • Liaising with Agencies to ensure the correct delivery of flighting codes / material etc.
  • Check all contracts timeously and flag discrepancies with planners immediately
  • Check that monthly billings match expectations created by PO’s and/or flow plan and highlight discrepancies and corrections to campaign managers/media planners/BUD’s where applicable to enable them to correctly update their plans and PO trackers
  • Supply alternative TV spots to planners where applicable and book alternatives within 48 hours
  • Amend or cancel bookings as and when required by the client
  • Negotiate maximum compensation for non-adherence to booking parameters or poor-quality reproduction related to APEX inventory
  • Respond to ad-hoc buying requests from the client and planners related to APEX inventory
  • Provide resources with all relevant documentation for billing purposes, including signed cost estimate, purchase order, signed schedule, updated plans from planners/campaign managers, proof of service and/or other approvals as needed
  • Ensure adherence to billing deadlines
  • Oversee weekly timesheets completion
  • Ensure adherence to audit and governance protocols
